What we collect and why
When you save a plan, we store the activity and a random browser identifier. If you sign in, Supabase processes your email address and gives us an account identifier so saved plans and direct bookings can follow your account. When you book, we collect your name, email, phone number, attendee names and ages, the activity, payment reference and booking status. We use these details to arrange the booking, check age eligibility, manage attendance and help with questions or refunds.
Your private account profile can also hold your name, mobile number, school and interests. These details are optional. We save them at your request, and use your name, email and mobile number to fill in booking forms. You can edit your profile and clear optional details from your account. Choosing interests does not sign you up to marketing emails.
Our booking records include the activity and cancellation terms you accepted. If you contact us, we store your message, name and email so we can reply. The legal basis for arranging a booking is taking steps at your request and performing our contract. We use legitimate interests to keep the service secure and respond to general enquiries, and legal obligations where records must be retained.
Event interest and waiting lists
If you join an event list, we store your email address, the event and your browser or account identifier with your consent. We use this to contact you about that event. Joining a list does not reserve a place or subscribe you to general marketing. You can withdraw consent and remove your entry from My Plans at any time. WhatsApp sharing opens WhatsApp with the event name, date and public event link; you choose who receives it.
Payments and service providers
Stripe processes card payments. Card numbers and security codes are handled by Stripe, and are not stored in our booking database. Supabase provides student account authentication when enabled. The website and booking database run through OpenAI Sites and Cloudflare. Where enabled, Resend delivers booking emails. These providers process the information necessary to provide their services and may operate internationally. Their privacy notices explain their processing and international safeguards.
Cookies and saved plans
A necessary cookie called oa_session links your browser to its saved plans and bookings and lasts for up to one year. If you sign in, an encrypted, necessary cookie called oa_auth keeps the Supabase session on this website for up to 30 days. It is HttpOnly, so page scripts cannot read it. Clearing these cookies signs you out and may remove this browser’s access to records that have not been linked to an account. We do not use advertising cookies or install analytics trackers. Signing in to the management area uses separate ChatGPT authentication.
Who can see your details?
Booking details and messages are restricted to the organiser’s management area. We do not publish student profiles or attendee lists. Where an activity needs attendee information to fulfil a booking, the organiser may need to provide the relevant details to that activity’s operator.
Keeping and deleting information
We retain information for the purpose it was collected and for applicable accounting, refund and dispute requirements. You can remove saved plans at any time. To ask for access, correction or deletion of other information, contact us. Some transaction records may need to be retained to meet legal obligations.
Your rights
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your information, and object to processing based on legitimate interests. You can also complain to the Information Commissioner’s Office.
Other organisers
When you follow an organiser’s link, their own terms and privacy notice apply. Out&About does not receive the payment or booking details you submit to their website.
